Personal Storage Table files, more universally known as their acronym .pst files, can be incredibly useful. They can transfer emails, calendar invites and other pieces of data from one computer to another or access information whilst offline. They’re also incredibly insecure.

PST files haven’t changed much for many years. Files aren’t protected – even a password is useless; it’s possible to just google how to hack into a PST file (there are plenty of results) – and they can easily be copied onto someone else’s USB stick or iPhone to take away with them. Mail can go missing or get lost during upgrades and the amount of storage space they take up is remarkable.

Imagine: one of your co-workers uses PST files as a convenient filing system in outlook and will therefore back them up onto their hard drive. The company’s technical crew will later back up his computer and save another copy of their PST files. Then this co-worker leaves the company and so all of the data from their computer is copied over to the corporate servers, which is also backed up. Their replacement is given a copy of the PST files and the mail data so they can continue with the project they had been working on. Their computer later gets backed up also, saving another copy of the PST file. Without anyone realising, one PST file has been copied into five separate files, all of which take up immense levels of storage space.

Another risk with this situation is how easy it would be for the data to be hacked into or stolen. With all those files left forgotten in servers and hard drives, a hacker or thief would easily find them simply by searching for .pst and could steal the data.
